File Sharing Overview

 

Folder shares

 

A folder on your computer can be shared with others on the network (both internal network and users on the internet). When you share a folder, you can decide the permissions that others will be allowed or denied when they access the files in that folder over the network. When a folder is shared, it will be indicated as such, in windows explorer with a hand icon.

 

 

Drive shares

 

In Windows 2000, all drives on your computer, such as drive C or D, are automatically shared using the name drive letter$, such as C$ or D$. These drives are not shown with the hand icon that indicates sharing in My Computer or Windows Explorer, and they are also hidden when users connect to your computer remotely. However, any user can gain access to a computer over a network or the Internet if the user knows your computer name, and the user name and password of a user who is a member of the Administrators, Backup Operators, or Server Operators group. A user who gains access to your drive over the network or Internet can view all folders and files on that drive, even those that are protected using NTFS permissions, provided the NTFS permissions allow access to members of the Administrators, Backup Operators, or Server Operators group.

For security, no File or folder shares should be created on any machines. If you want to access a folder on another machine, Logon as user Admin, and use the Administrative share C$. (For Detailed instructions of accessing another file on another machine see the relevant help section.)

 

File Security

 

To secure files used by the ECCP staff from access by the clients, ensure that the disk format is NTFS, and that the files are always placed in the folder 'C:\Documents and Settings\<username>\My Documents' and not in the folder 'C:\Documents'.

If you wish to further secure specific personal files, you will need to use the file save options tab in the relevant application, e.g. excel or word, to place read passwords on the document. Ensure you have told the passwords to people you want to access these files as there is no way to retrieve lost passwords.
